How to Send Workouts to Clients on WhatsApp or Email (Without Asking Them to Download an App)

If your clients are in the Gulf, they are already on WhatsApp all day. It is where they talk to family, friends and work, so it is the first place they will see your message and the most likely place they will act on it.

The problem is that most coaches use it badly. Programs get typed out message by message, buried in a long chat, or sent as blurry screenshots. The client scrolls for last week's session, asks you to resend it, and you lose time you should be spending coaching.

This guide covers three ways to send workouts on WhatsApp or email, what works and what doesn't, and the one that actually holds up once you have more than a handful of clients.

Method 1: Typing the program into the chat

This is where almost every coach starts, and it is the slowest way to run a coaching business. You type out sets, reps, and exercise names directly into WhatsApp, one message at a time. It costs nothing and needs no setup, which is exactly why it feels fine at first.

It stops feeling fine the moment a client asks "what was I doing last Tuesday?" and you are scrolling through weeks of chat history to find it. There is no structure, no branding, and no record of what the client actually did in the session — just whatever they happened to type back, if they typed anything at all. It does not scale past two or three clients without becoming a part-time admin job on top of your coaching.

Method 2: Screenshots of a spreadsheet or notes app

The next step up is building the program somewhere else — a spreadsheet, a notes app, a Word document — and sending a screenshot. It looks more organized than a wall of text, but it carries its own problems.

Screenshots get blurry when WhatsApp compresses them. There is no way for the client to tap an exercise and see how it is actually performed. Updating one week means retaking the screenshot and resending it, so old versions keep floating around in the chat. And it still carries zero branding — the client is looking at your Excel template, not your business.

Method 3: A branded PDF, sent as a WhatsApp or email attachment

This is the baseline every coach should be working from. Instead of a screenshot of a spreadsheet, the client receives one properly formatted document: your logo, your business name, the full program laid out by day and week, with exercise names, sets, reps and notes in a clean layout.

A PDF sent this way has three advantages over the first two methods. It is one file the client can save, forward, or print — not a scroll-and-hope situation. It carries your brand every time it is opened, which is a small but constant marketing touch. And it works everywhere, because every phone and every inbox can already open a PDF. No app, no account, no login.

In WellCore, this is a one-tap export: build the program from the 4,300+ exercise library or one of the 400+ pre-built templates, generate the branded PDF, and send it straight to the client's WhatsApp or email from inside the app — no separate exporting, saving, and re-uploading somewhere else.

Where a PDF reaches its limit — and what the Live Workout Link solves

A PDF is a great way to deliver a program. It is a static document, which means a client's completed numbers do not come back to you automatically. If you want to know what weight they actually used on set three, you are back to asking them to text you after the session — which is the same bottleneck as Method 1, just for tracking instead of delivery.

That is the gap a Live Workout Link is built to close. Instead of a PDF attachment, you send the client a private link — still over WhatsApp or email, still nothing to download. The client opens it in their phone's browser and sees their full program for that day, with exercise videos and images. They log the weight, reps and any notes right there as they train, and it syncs back into their client record in your app automatically. No app install, no account creation, no password to remember.

You are not choosing one method forever. Most coaches use both: a branded PDF for the program itself, and a Live Workout Link on the days they want real-time tracking without chasing the client for numbers afterward.

The test for any delivery method is simple: does the client need to download anything to use it? If the answer is yes, you have added friction between them and their workout.

WhatsApp or email — which one to use

Both work, and WellCore sends either directly from the app, so this comes down to who you are sending to and how formal the relationship is.

  • WhatsApp is the right default for most clients, especially across the UAE, Saudi Arabia and the wider Gulf, where it is already the primary channel people use for everything. Messages get opened within minutes, and a Live Workout Link sent on WhatsApp gets tapped the same way any other link does.
  • Email works better for clients who want a permanent record in an inbox, corporate or executive clients who treat WhatsApp as personal space, or any time you are sending something formal like an initial PAR-Q, a signed agreement, or a monthly progress report alongside the program.

There is no rule that says you have to pick one. Plenty of coaches send the branded PDF program by email at the start of a block and use WhatsApp for the day-to-day Live Workout Link and quick check-ins in between.

What this looks like in practice

Once this is set up, delivering a session takes a few steps, not a chat thread:

  1. Build the program once, using the exercise library or a pre-built template as a starting point.
  2. Generate the branded PDF, or create a Live Workout Link if you want the client logging data live.
  3. Send it straight to the client's WhatsApp number or email address from inside the app.
  4. The client opens it on whatever device they already have — no download, no login screen.
  5. If it was a Live Workout Link, their completed sets, reps and notes land back in your client record automatically.

The whole thing runs in English or Arabic, with full right-to-left layout on the Arabic side, so the client reads their program in whichever language they are most comfortable with.

The real cost of doing this manually

None of the manual methods are impossible. Coaches run entire businesses off WhatsApp texts and screenshots. The cost is not that it fails outright — it is that it quietly caps how many clients you can serve well. Every extra client on a manual system means more scrolling, more re-typing, more "can you resend that" messages, and less time actually coaching.

A branded PDF and a Live Workout Link do not remove WhatsApp or email from your workflow — they just make what you are already sending look like it came from a real business, and stop the back-and-forth that eats your week.

No app, no login — just a link or a document the client already knows how to open.
